Terms & Conditions
Please read the following conditions carefully since they set out the terms and conditions of the contract between you and D&C Travel Group LLC, doing business as matchboxtravel.com (“we”, “us”, “our” or “ourselves”).
We suggest you print and retain a copy of these Terms & Conditions for your records.
Please note services booked online with Matchbox Travel are separate from, and independent of, any flight booking.
1. Contract
Once you have selected the arrangements you would like to book and the arrangement/s is/are real time available, you must complete the details on the website, including the payment details and pay online the deposit of your booking ($500/per person for most trips). If the Price of the Booking is under $500/per person, the total amount of the booking will be charged. We accept VISA, MasterCard and American Express. Credit card Charge will be subject to a credit card handling fee which will be advised at the time of payment.
If the arrangement/s, you selected, can be booked on request base, you must complete the details on the website, and send these to us. Please do not forget to print out our CREDIT CARD AUTHORIZATION FORM at the end of your booking, sign it, and then fax it, or scan it and send it by email to account@matchboxtravel.com We will send you an e-mail confirmation and charge the deposit to your credit card if we can confirm your booking. We accept VISA, MasterCard and American Express. Credit card Charge will be subject to a credit card handling fee which will be advised at the time of payment.
A binding contract will come into force between us at the time we send out our confirmation email, and until then we shall be under no liability to you whatsoever. If we are unable to accept your booking we shall not process your payment.
For your balance payment you can send a check (American residents only), or you can go in your booking and then select one of the options, either online credit card payment or credit card authorization form. If you select Credit Card Authorization Form print out our Credit Card Authorization form, sign it and then fax it, or scan it and send it by email to account@matchboxtravel.com. Credit card Charge will be subject to a credit card handling fee which will be advised at the time of payment.
If there are any changes to the details supplied to us by you it is your responsibility to inform Matchbox Travel via our web form or by contacting our Customer Services as soon as possible; support@matchboxtravel.com
Our website will not stop you from making impossible bookings such as booking two hotels in different places for the same dates, or a hotel in one place and theatre tickets in another. If you make this kind of double booking, we are unable to give you a refund.
Trip participants must be at least 18 years of age, unless accompanied by parent or guardian, and in good health. Our waiver of liability must be signed before an application is accepted; on some trips, you will also need to sign a waiver with our guide services. Your application and reservation may not be transferred to another person.
Participants agree to respect the laws and customs of the regions in which we travel. A participant may be asked to leave a trip if our guide feels that the person's continuing participation may prove detrimental to that individual, or to the safety, well-being, or enjoyment of others.
The room types used are as follows:
Twin: Contains 2 single beds in the same room. Suitable for 2 people
Double: Contains 1 double bed. Suitable for 2 people.
Double sharing: 2 single beds, suitable for 2 people. In this case you accept to stay with the roommate that we will match you with.
Triple: Contains twin or double bed(s) + extra bed, or 2 double beds.
Most hotels do not have one full size bed for each guest in their triple rooms.
Prices are per person, double occupancy, except as otherwise noted. If you sign up at least 60 days before departure and want the pp/double sharing rate, we'll either match you with a roommate, or those who want to room alone may do so by paying the singles supplement. In some cases, the second beds in shared rooms may be a rollaway, sofa bed, or airbed. Shared rooms are designated as non-smoking unless both parties agree otherwise.
Matchbox Travel will try and arrange for special requests to be met but these cannot be guaranteed. Matchbox Travel will not be liable if any special request is not met. If you arrange your holiday direct with Matchbox Travel all correspondence will be forwarded to the lead passenger unless otherwise stipulated. If your booking is made through a travel agent all communications by us will be made to that address.
2. Supplier Rules and Restrictions
In most cases for the sale of Hotel Rooms, Package Holidays, Tours , Excursions, Cruises and tickets, Matchbox Travel is acting as a disclosed agent for a supplier, however, tickets will be sold as part of a Package. A binding contract will come into force between you and supplier. This will mean that, ultimately, Liability about the travel ser vices you booked, any decisions on cancellation, exchanges and refunds will belong to the supplier.
Additional terms and conditions will apply to your reservation and purchase of travel-related goods and services that you select. Please read the cancelation policy on each selected travel deal carefully. You agree to abide by the terms and conditions of purchase imposed by any supplier with whom you elect to deal, including, but not limited to, payment of all amounts when due and compliance with the supplier's rules and restrictions regarding availability and use of fares, products, or services.
You acknowledge that some third-party providers offering certain services and/or activities may require you to sign their liability waiver prior to participating in the service and/or activity they offer. You understand that any violation of any such third-party provider's Terms of Use and restrictions may result in cancellation of your reservation(s), in your being denied access to the applicable facility, product or services, in your forfeiting any monies paid for such reservation(s), and/or in the debiting your account for any costs incurred as a result of such violation.
Matchbox Travel acts as disclosed Agent for third party suppliers and for the purposes of these terms and conditions tour operators, package holiday supplier, hotels, hotel chains and hotel aggregators, insurance and car suppliers, plus all airlines, shall be included in the term 'Travel Supplier'. When you make a booking via the Site, and your preferred travel product or service is available, the contract will be between the Travel Supplier and you. Matchbox Travel is not a party to the contractual relationship. Any concerns or claims relating to the product should be addressed to the Travel Supplier.
You will see the details for most suppliers in the confirmation e-mail. Matchbox Travel does not assume any responsibility for the travel products and services provided by the Travel Supplier and makes no representations or warranties (express or implied) about the suitability or quality of travel products and services featured on the Site.
MATCHBOX TRAVEL STRONGLY RECOMMENDS THAT YOU TAKE OUT INSURANCE FOR ANY HOLIDAY, ESPECIALLY AS THERE MAY BE CIRCUMSTANCES WHERE NEITHER OPODO NOR THE TRAVEL SUPPLIER CAN ACCEPT LIABILITY (EG DELAYS OR CANCELLATIONS BEYOND OUR CONTROL).
3. Booking: Hotel Room, Tours, Excursions, Package Holidays, Cruise and Tickets
In most cases for the sale of Hotel Rooms, Package Holidays, Tours, Excursions, Cruises and tickets, Matchbox Travel is acting as a as disclosed Agent for third party suppliers and for the purposes of these terms and conditions tour operators, package holiday supplier, hotels, hotel chains and hotel aggregators, insurance and car suppliers, plus all airlines, shall be included in the term 'Travel Supplier'. You will be able to find the name and address of the relevant supplier on your confirmation email and voucher.
When you make a booking via the Site, and your preferred travel product or service is available, the contract will be between the Travel Supplier and you. Matchbox Travel is not a party to the contractual relationship. Any queries or concerns relating to the product should be addressed to the Travel Supplier.
The contract governing the purchase of any Hotel Room, Package Holiday, Tour, Excursion, Cruise or ticket will contain the terms and conditions of the supplier. This will mean that, ultimately, Liability about the travel services you booked, any decisions on cancellation, exchanges and refunds will belong to the supplier. Please contact Customer Services for details of relevant terms and conditions.
Ticket sales via the website may be subject to a per ticket booking fee.
As a web agent we do not have any role in setting prices or determining room locations. Upon receipt, please check the details of your tickets/vouchers as mistakes cannot always be rectified. Images - Whilst we endeavor to ensure that property images and descriptions of amenities and facilities displayed on Matchbox Travel are an accurate and up to date representation of the properties, we cannot guarantee this always to be the case as we obtain this information from our Travel Suppliers. The images and information are provided to give a general 'feel' for the hotel, tours, and cruise.
4. Payment
We accept various methods of payment, however deposit payment should be done by credit card. The balance must be paid until 60 days before departure. Your deposit will hold your spot until 60 days before departure. We reserve the right to consider a reservation cancelled, and the deposit forfeited, if the balance is not received by that date. Payment may be with check or money order or credit card.
Customers choosing to use a credit card as the method of payment will be subject to a credit card handling fee which will be advised at the time of payment.
If the booking is made within 8 weeks of departure, full payment is required at the time of booking. If the holiday is made through a travel agent, all monies paid by the client to the travel agent, under or in contemplation of a contract with Matchbox Travel are held by the travel agent as an agent of Matchbox Travel. If payment is not received on the due date the holiday or travel arrangements will be liable to cancellation which will lead to loss of deposit.
For balance payment you can of course opt for an alternative method of payment i.e. check or debit card or money transfer. Some banks and credit cards impose fees for international transactions. If you are making a booking from outside of the United States on an US credit card, your bank may convert the payment amount to your local currency and charge you a conversion fee. This means the amount listed on your credit or bank card statement may be in your local currency and therefore a different figure than the figure shown on the billing summary page for a reservation booked on the Website. In addition, a foreign transaction fee may be assessed if the bank that issued your credit card is located outside of the United States. If you have any questions about these fees or the exchange rate applied to your booking, please contact your bank.
Should you choose to pay by credit card on the site, your card details are encrypted for the transaction - making it more secure than giving your card details over the phone. We use Secure Socket Layer technology (SSL), which means using your credit card to make a purchase online with Matchbox Travel would leave you with no safety fears. Security need not be the reason stopping you shopping online.
D&C Travel Group LLC., doing business as Matchbox Travel, uses secure technology in order to safeguard personal information and financial transactions.
Before payment is received in full, Matchbox Travel or the Travel Supplier is not obliged to issue any vouchers, or other travel documents. However, you shall in all cases remain liable for payment of the amounts agreed for the travel products and services ordered.
All of credit card charges, made by Matchbox Travel, will appear on your statement as D&C Travel Group LLC.
5. Booking Confirmation and Confirmation Vouchers
Before payment is received in full, Matchbox Travel or the Travel Supplier is not obliged to issue any vouchers, or other travel documents. However, you shall in all cases remain liable for payment of the amounts agreed for the travel products and services ordered.
Matchbox Travel vouchers will be provided for each booking segment. You must present your booking confirmation details to the relevant supplier (see detail on voucher) upon arrival as they are proof of pre-payment. It is your responsibility to check the confirmation and ensure that all of the details are correct.
Accommodation and activities will only be provided in accordance with the details in the confirmation. Where the details on the confirmation are not correct, you should contact us prior to travel at support@matchboxtravel.com
It is also your responsibility to ensure the accuracy of the information you input into the enquiry screen before you complete the Matchbox Travel booking. If you make a mistake, and you request that we try to amend the details, we will try to do so, but cannot guarantee that this will be possible. The cost of the service requested may vary on amendment of the details and if so you will have to pay these in addition. If this happens, a new confirmation email will be sent to you.
Your confirmation voucher(s) and invoice relating to your booking will be sent to the email address which you give us at the time of booking. You must ensure that this is a correct and valid email address. It is your responsibility to print out your voucher(s) and present it to the supplier(s) on arrival at your destination. You will be provided with a voucher per product you book.
Non-delivery of the confirmation voucher does not constitute a non-booking and all standard cancellation terms apply. If you have not received your confirmation voucher within 2 hours of booking, please call customer service on +1 805 426 2812 and quote the Confirmation Number displayed on your check out page.
IT IS IMPORTANT THAT YOU CHECK ALL DETAILS OF YOUR CONFIRMATION VOUCHER BEFORE LEAVING FOR YOUR TRIP. IF THERE ARE ANY INACCURACIES OR YOU HAVE ANY OTHER QUERY PLEASE CONTACT IMMEDIATELY.
Well before your trip begins, we'll send you a more detailed itinerary, as well as suggestions about what to take with you, where to meet, and other travel advice.
6. Changes by You
If you wish to make a change to your booking, you must notify us in writing as soon as possible. Making the Change, is subject to availability. Where the change is possible, you will be asked to pay an administration fee of $50 per person per change and you will also be responsible for any charges imposed by suppliers of your arrangements as a result of the change. Matchbox Travel reserves the right not to make changes 14 days or less prior to travel.
7 . Cancellation by You
If you must cancel a reservation, we will refund your payments except for a cancellation fee, which is based on how many days before the departure date you cancel If changes or cancellations are permitted. You can apply changes or cancelation by entering your booking which you would like to modify or cancel, selecting the sections, and apply your request using the modify/cancel fields. Where you make a booking modification, it is your responsibility to ensure that it does not conflict with any other product or service you have purchased. We will give you a cancellation number; please record this number to verify that your cancellation was received.
These will be as set out below but additional fees may, in some cases, be levied by the individual supplier/operator above and beyond the charges outlined below. For example, any cancellation on event, theatre, concert, special interest, activity and attraction tickets/passes generally attracts a cancellation fee of 100%. When canceling the booking you will be notified via email of the total cancellation fees.
Should you wish to cancel your booking, the person who made the booking must advise Matchbox Travel by e-mail at this address: account@matchboxtravel.com .
Your cancellation notification must be made by email or in writing. Matchbox Travel will then advise you on what documentation is required to process your cancellation and you must in turn post written confirmation of your cancellation. This must arrive with us before your break has begun.
For reservations that do not include air transportation, the cancellation fee is:
90 or more days before travel starting date: $100 or 10% of trip price, whichever is greater.
60-89 days before travel starting date: $200 or 20% of trip price, whichever is greater.
30-59 days before travel starting date: $500 or 60% of trip price, whichever is greater.
15-29 days before travel starting date: 80% of trip price.
2-14 days before travel starting date: 90% of trip price.
Within 48 hours of starting time or by No-shows: 100% of trip price
No credit or refund if you do not show up, and have not cancelled by the time the trip begins.

Your ability to cancel or modify a booked travel product or service, and the method for doing so, will depend on the Travel Supplier's specific terms and conditions for cancellations and amendments will be set out in your confirmation email. Please read the cancelation policy on each selected travel deal carefully. You agree to abide by the terms and conditions of purchase imposed by any supplier with whom you elect to deal, including, but not limited to, payment of all amounts when due and compliance with the supplier's rules and restrictions regarding availability and use of fares, products, or services. This will mean that, ultimately, Liability about the travel ser vices you booked, any decisions on cancellation, exchanges and refunds will belong to the supplier, therefore may not be possible to cancel or modify some products or services, or there may be specific requirements you will have to meet.
In some cases, that you are unable to take the trip your booking can be non-refundable. We strongly recommend that you take out appropriate insurance to cover you for situation which may require you to cancel or change your travel arrangements.
8. Change by Us to a Confirmed Booking
It is unlikely that we will have to make any changes to your travel arrangements, but we do plan the arrangements many months in advance. Occasionally, we may have to make changes and we reserve the right to make changes to your Flight + Hotel Package where such changes are occasioned by one of its Travel Suppliers, for instance an airline cancelling a flight. the right to do so at any time. Most of these changes will be minor and we will advise you of them at the earliest possible date. Examples of minor changes include alteration of your outward/return flights by less than 12 hours, changes to aircraft type, change of accommodation to another of the same standard.
We will notify you as soon as we can, if there is time before your departure. Your confirmation will show you the planned timings as of the date of the confirmation.
If we make a major change to your holiday, we will inform you as soon as reasonably possible if there is time before your departure. If you are notified of any Major Changes to your booking after we have confirmed your booking but before you travel, you can either accept the change of arrangements, accept an offer of alternative travel arrangements of comparable standard from us if available (we will refund any price difference if the alternative is of a lower value), buy another arrangement or cancel your booking and receive a full refund from Matchbox Travel. If you cancel your booked holiday you will receive full refund of all amount paid.
In all cases of a major change, except where the major change arises due to reasons of force majeure, we will pay compensation as detailed below.

If we make a major change, you will have the choice of either accepting the change of arrangements, accepting an offer of alternative travel arrangements of comparable standard from us if available (we will refund any price difference if the alternative is of a lower value),.
Major Changes shall include: a change in your departure or arrival flight by more than 12 hours; a change in the length of your holiday; or a change in the airport you depart or arrive from (except where the airports are in the same cities), a change of accommodation to a lower standard or to a different resort.
Matchbox Travel will not be liable to you for any compensation if forced to cancel or make any changes to your booking as a result of events outside our control and which neither or Matchbox Travel or its Travel Suppliers could reasonably foresee. Events outside our control include: war; threats of war; government intervention, terrorism; riots; civil unrest; natural and nuclear disasters; fire; actual or potential weather conditions; health risks; industrial disputes; technical problems with transport; closed or congested airports; and any force majeure events. Matchbox Travel shall not be liable for any failure in the course of this Agreement if the same shall arise out of a force majeure event. This shall include without limitation government intervention, wars, civil commotion, hijacking, fire, flood, accident, storm, strikes, lockouts, terrorist attacks, or industrial action affecting Matchbox Travel or its suppliers.
We would strongly recommend that you take out comprehensive insurance to cover such circumstances.
9. Cancellation by Us
We reserve the right in any circumstances to cancel your travel arrangements for any reason. However, we will not cancel your travel arrangements less than 8 weeks before your departure date, except for reasons of force majeure or failure by you to pay the final balance. If we are unable to provide the booked travel arrangements, you can either have a refund of all amount paid or accept an offer of alternative travel arrangements of comparable standard from us, if available, (we will refund any price difference if the alternative is of a lower value).
If it is necessary to cancel your travel arrangements, we will pay to you compensation as set out below.
Up to 60 days prior to departure Deposit only
59 - 31 days prior to departure 100% of total holiday cost plus $30.00
30 days or less prior to departure 100% of total holiday cost plus $50.00
10. Minimum Numbers
Most escorted tours are subject to a minimum of 20 passengers travelling in order to operate. We will advise you at least 8 weeks before departure if minimum numbers have not been reached. You will then have the choice of booking an alternative holiday with us, changing your departure date at the appropriate additional cost, or having a refund of amount paid. No compensation will be payable and we are unable to offer refunds of any associated costs i.e. visas etc.
11. Changes or Cancellation due to Circumstances beyond our Control
Matchbox Travel shall not be liable for any failure in the course of this Agreement if the same shall arise out of a force majeure event. Matchbox Travel will not be liable to you for any compensation if forced to cancel or make any changes to your booking as a result of events outside our control, result of unusual or unforeseeable situations outside our control, the consequences of which could not have been avoided even with all due care, and which neither or Matchbox Travel or its Travel Suppliers could reasonably foresee. Events outside our control include without limitation government intervention,: war; threats of war; government intervention, terrorism; riots; civil unrest; natural and nuclear disasters; fire; actual or potential weather conditions; health risks; industrial disputes; technical problems with transport; closed or congested airports; epidemic activity; accident, storm, strikes, lockouts and any force majeure events affecting your trip and/or Matchbox Travel or its suppliers.
We would strongly recommend that you take out comprehensive insurance to cover such circumstances.
12. Your Responsibilities
You agree to be bound by the following obligations, including without limitation:
• You accept financial responsibility for all transactions made under your name or account.
• You must be 18 years of age or over and have legal capacity.. By ticking the box to confirm you have read and understand the Terms and Conditions you are also confirming that the lead name for the booking is over 18 years of age.
• You warrant that all information you provide about yourself or members of your household shall be true and accurate.
• The Site must not be used for speculative, false or fraudulent bookings.
• You will only use this Website to make legitimate reservations for you or for another person for whom you are legally authorized to act.
• You will inform such other persons about the terms and conditions that apply to the reservations you have made on their behalf, including all rules and restrictions applicable thereto.
• The transmission of threatening, defamatory, pornographic, political, or racist material or any material that is otherwise unlawful is expressly prohibited.
• The Site and any content may not be modified, copied, transmitted, distributed, sold, displayed, licensed or reproduced in any way by you, except that one copy of the information contained within the Site may be made for personal, non-commercial use.
• Matchbox Travel reserves the right to deny access to the Site, at any time and for any reason, including, but not limited to, for violation of this Agreement, without notice.
• When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid direct at the time to the relevant supplier. If you fail to do so, you will be responsible for meeting any claims subsequently made against us (together with our own and the other party's full legal costs) as a result of your actions.
• In order to take part in a active tours including sporting activities, all persons should be in good health and possess a reasonable basic level of fitness. If you wish to participate in any of our scuba diving programs please consult your doctor prior to departure with particular regard to medical history, medication and any pre-existing conditions such as perforated ear drums, high blood pressure, asthma etc. You must advise us prior to travel of any disability, medical or behavioral problems experienced by any member of your party (including yourself) which may affect that particular person or any other guests on the holiday.
• Before reserving, please consult with your doctor to be sure you have no health-related barriers to participation. All participants must have medical insurance, and you are responsible for payment of any medical services you may require during the trip.
• Please note that in some instances, a minimal tourism tax will be applicable and payable on arrival. It is your responsibility to pay these taxes if requested at your destination.
13. Passport, Visa and Health Requirements
It is your responsibility to make the necessary applications and to comply with any regulations governing entry to your chosen country. If you do not obtain a visa, where this is required, or your passport or any other travel documentation is not in order and you are unable to travel as a result, you will be liable to pay the cancellation charges set out in clause 7. Furthermore, we will not accept any responsibility or refund any money in cases where you are unable to travel because of an invalid or mislaid visa or passport. You can check with your embassy or consulate to obtain details of the relevant requirements.
To get the most enjoyment out of your trip, plan some conditioning beforehand. We'll send suggestions after you register.
Before reserving, please consult with your doctor to be sure you have no health-related barriers to participation. All participants must have medical insurance, and you are responsible for payment of any medical services you may require during the trip. Group dinners are always non-smoking. Hotel rooms are non-smoking unless each person in the room wishes otherwise, and hotel policy allows smoking.
You can also refer to your respective Foreign Office departments for travel advice.
14. Price guarantee
The price of unsold holidays may be increased or decreased at any time. The price of your holiday will be confirmed on booking.
Once you book and make deposit payment and balance payment/s on time, our prices as shown on your confirmation invoice are guaranteed and will not be subject to any changes or surcharges unless you elect to change the confirmed booking.

At no time is the Company liable to give a breakdown of costs due to the nature of the holiday bought by the client.
15. Complaints
If you are in any way dissatisfied with any aspect of your arrangements, you must notify the Tour Leader, and relevant and liable supplier immediately. The reason that we and/or the supplier require you to do this is to give to the supplier an opportunity to resolve any problems before they spoil your arrangements. They will do their best to rectify the situation. It is unreasonable to take no action whilst on holiday, but then to write a letter of complaint upon return. If you do not raise concerns immediately, this may affect our ability to investigate and take remedial action and it may impact on the way your complaint is dealt with.
If you fail to notify the Tour leader and/or relevant supplier of any complaint we will have been deprived of the opportunity to investigate and rectify your complaint whilst you were on holiday and this may affect your rights under this contract. Further, you have a legal duty to tell the supplier of the services or facilities about which you complain as soon as possible. Failure to do this will affect your legal rights and will also reduce, annul, or extinguish any right which you may have for compensation. If a problem cannot be resolved then we request details of the complaint, in writing, within four weeks of your return. If you make a complaint we promise to deal with it fairly and promptly within the terms of these conditions.
If you are ill whilst on holiday, you must consult a local doctor and also consult your GP on return to your Country. Should you then wish to make a claim against the supplier as a result of that illness, you must provide us or the supplier with details of both the local doctor whom you saw, and your GP, together with written authority for us to obtain a medical report from both those doctors.
